Product weight is useful before warehouse arrival only as a planning range. It can help compare a compact hoodie with boxed shoes or a dense accessory, but it is not the final billable weight. This workflow records evidence, packaging assumptions and dimensional risk so the estimate guides decisions without pretending to be a shipping quote.

Separate four kinds of weight evidence

Use distinct columns for seller-stated product weight, third-party reference, buyer estimate and warehouse measurement. Add source and date to each. Never let an estimate overwrite a later measured value; the difference reveals which categories or packaging assumptions were unreliable.

Record whether the number describes one unit, a pair, a set, the item with retail packaging or a shipping carton. A weight without scope can be more misleading than no weight. If a listing offers several sizes, note whether the figure belongs to the selected size or a general example.

Assign an evidence label: measured, seller-stated, comparable-item range or unknown. Use measured warehouse data for final route decisions. Use earlier figures only for shortlist and scenario planning.

Estimate with a low, expected and high case

Build a range from product type, size and packaging. The low case might assume minimal protective material; the high case should include plausible retail and protective packaging. Do not present decimal precision unsupported by the source. A 0.8–1.2 kg planning range is more honest than 0.97 kg copied from an unrelated listing.

Keep the range wide when configuration is unclear. A shoe pair with or without a rigid box can differ materially in both actual and dimensional impact. A small metal accessory can be denser than a large soft garment. Product price does not predict weight.

Record the assumption in words. When warehouse data arrives, compare it with the range and investigate a major difference before parcel submission.

Track dimensional risk separately

A product can be light and still occupy a large volume. Add length, width and height fields when the seller provides them, plus a packaging-shape note. Mark whether dimensions are product-only, retail box or unknown. Soft goods may compress; rigid boxes, hats, bags and fragile objects may not.

Do not apply one volumetric divisor to every future route. Billing methods vary by line. PikoBuy's public guide explicitly notes that routes differ in billing methods and delivery time. The sheet should flag dimensional risk and wait for the current route rule and packed measurements.

Useful flags include rigid, compressible, fragile, irregular, box optional and shape protection required. Those facts support packing decisions without inventing a billable weight.

Model the whole shortlist, not isolated products

Add the low and high ranges across selected rows to create a parcel planning band. Count packaging-sensitive and route-uncertain items separately. The total is a scenario, not a quote. Its purpose is to show whether the shortlist is still consistent with the buyer's budget and parcel strategy.

Compare three versions: all selected items, must-have items only and a split scenario. If one bulky box or uncertain product changes the plan, flag it before purchase. A spreadsheet should make the cost of optional additions visible even when their individual product price seems small.

Update the band whenever quantity, size, set contents or packaging intent changes. A stale estimate should never look current.

Write packaging assumptions as decisions

For each product, state what can be removed and what protection is required. PikoBuy's guide says buyers may request minimal packaging or reinforced packaging. That does not make either choice universally correct. A retail box may add volume; it may also protect structure or matter to the buyer.

Do not request irreversible packaging removal before resolving QC and return questions. Current return rules include resale-condition and packaging requirements for some products. Preserve the item's exit path while a decision is pending.

At parcel preparation, replace the assumption with the actual packing request and measured result. Keep both values for learning.

Use live route data at the right stage

Before warehouse arrival, route research can identify questions: destination support, product-type eligibility, billing basis and size limits. It cannot provide a reliable final price without current packed facts. Save the check date and avoid presenting an old route snapshot as a guarantee.

After items are approved, use actual and packed dimensions in the live estimator. Compare compatible routes on the same inputs. Record base assumptions, billable method, displayed estimate and restrictions separately. Recheck before payment if the parcel changes.

If a product characteristic could remove route options, test a split scenario. The cheapest headline rate is irrelevant when the parcel is not eligible.

Turn estimate errors into better future ranges

After warehouse arrival, calculate the difference between expected and measured product weight. After packing, compare the parcel result with the sum of item measurements. Categorize the difference: seller scope, size variation, retail packaging, protective material, quantity mistake or unknown.

Do not universalize one order. Store several dated observations before narrowing a category range, and keep batch or configuration context. The aim is calibrated planning, not a promise.

Use category clues without turning them into facts

Category knowledge can set the width of a planning range, but it should not become a product claim. A thick hoodie may be heavier than a T-shirt, boxed shoes may create more dimensional risk than soft clothing, and metal accessories can be dense. Those are reasons to investigate, not permission to copy an average into the measured field.

Record the features that justify the range: selected size, set quantity, lining, rigid case, retail box, batteries, glass, removable components or seller-stated dimensions. If none are available, use unknown and test a conservative scenario. A clear unknown keeps the budget honest.

For repeated categories, build a private reference table from several completed, dated warehouse observations. Segment by configuration and packaging. Do not publish the table as a guarantee, and do not apply one sample to every seller or batch. Its purpose is to improve the starting range and highlight unusual results.
